The Hot Springs Community Garden and the Seven Sisters Youth Garden are two separate organizations. At this time they have the same Board of Directors, which consists of a President, Vice-President, Secretary, Treasurer and Marketing Director. The Board is a working Board, meaning it handles not only traditional governance, but also manages the daily operations at the gardens when necessary. Board Directors are chosen by a majority vote of the Board of Directors.
Each garden has its own Managing Committee. The Committees consist of a team of Volunteers who sign up to be on the Committee of their choice. Each Committee Lead is selected by their team members. The Board of Directors gives final approval of Committees.

- Maintain record keeping of meetings policies, activities & membership.
- Oversee minutes of meetings and teleconferences of the Board of Directors and Executive Director.
- Provide the Board of Directors and Executive Director with minutes, including motions made and voting results within 10 days.
- Review the policies of The Hot Springs Gardens and present to the Board any policies that may have to be amended, rescinded, or reaffirmed.
- Represent the organization to other organizations, the media, and the public at large.
- Know and follow the Hot Springs Gardens’ bylaws, policies, mission and Board resolutions.
- Maintain confidentiality about all internal matters of the Hot Springs Gardens.
- Serve as advocate and ambassador of the Hot Springs Gardens.
- Maintain fiduciary responsibility, ensuring prudent care of all assets, including people, premises and goodwill.
- Leverage connections, networks, and resources to fully achieve the Hot Springs Gardens’ mission.
- Serve as a voting member of the Board of Directors.
Treasurer
- Monitors financial condition of The Hot Springs Gardens.
- With the Executive Director, oversee the fiscal affairs of the Hot Springs Gardens.
- Present to the Board of Directors an annual budget for the organizations developed in concert with the Executive Director.
- Monitor budget performance and recommend modifications as needed.
- Represent the organization to other organizations, the media, and the public at large.
- Review for approval all actions and policies with major financial implications.
- Know and follow the Hot Springs Gardens’ bylaws, policies, mission and board resolutions.
- Maintain confidentiality about all internal matters of the Hot Springs Gardens.
- Serve as advocate and ambassador of the Hot Springs Gardens.
- Maintain fiduciary responsibility, ensuring prudent care of all assets, including people, premises and goodwill.
- Leverage connections, networks, and resources to fully achieve the Hot Springs Gardens’ missions.

Marketing Director
- Represent the organization to other organizations, the media, and the public at large.
- Implement multi-year marketing plans that align with the Hot Springs Gardens’ strategic priorities.
- Ensure a consistent message across all materials and platforms cohesive with the Hot Springs Gardens’ identity.
- Develop and manage the creation of diverse marketing content, including events, fundraising, blog copy, newsletters, and other promotional materials.
- Act as spokesperson for the Hot Springs Gardens and build strong connections with local organizations, groups, influencers and other partners to expand reach and support.
- Develop and oversee the marketing departments budgets.
- Know and follow the Hot Springs Gardens’ bylaws, policies, mission and board resolutions.
- Maintain confidentiality about all internal matters of the Hot Springs Gardens.
- Serve as advocate and ambassador of the Hot Springs Gardens.

Step_2_Site_Clearing_Committee
This Committee will be hands-on stewards of the land during this transformative phase. With foresight and responsibility, you will be laying the foundation for all that follows. You will be the operational liaison between the Seven Sisters Youth Garden and the contractor, aligning with the strategic plan, budget, and timelines. The Committee Leader will be selected by the Committee Members.
Core Responsibilities:
- Serve as the point of contact for the selected site grading contractor.
- Ensure all work adheres to approved site plans.
- Facilitate regular progress reports to review project plans and specifications, address challenges, confirm schedules, and verify work.
- Manage any necessary change orders or scope adjustments in coordination with the Garden’s Executive Director.
- Monitor contractor compliance with all health, safety and environmental regulations.
- Document site progress through reports and photographs for the SSYG’s archives.
- Oversee the on-site reuse and off-site removal of material.
Completion:
- A properly graded site ready for the next phase of construction. Estimated completion: 4/15/2026
Step_3_Layout_of_the_Walkways_Committee
This is where the vision starts to become physically tangible on the ground. This Committee will accurately transfer the pathway designs from the plan onto the actual garden site using spray paint to define the borders and edges. You will be able to see the skeleton of the garden when completed. The Garden will provide the spray paint and tools. The Committee Leader will be selected by the Committee Members.
Core Responsibilities:
- Identify primary walkways with white spray paint. They are 4 ft wide. Secondary paths are 3 ft wide and identified with yellow spray paint. Stakes or garden hose can be used as initial markers.
- Majority of the paths are not straight but follow the contour of the land. This is intentional.
- The SSYG property boundary (approx 100’x80’) will be clearly marked with red spray paint prior to laying out the pathways.
- Establish the edges of the primary walkways first and then the secondary walkways.
- Document the event with photographs for the SSYG’s archives.
Completion:
The Walkways are clearly defined with the correct width. Estimated completion: 4/30/26
Step_4_Delivery_&_Placement_of_Topsoil_Committee
This action Team will source, coordinate delivery, and spread approximately 50 cubic yards of topsoil into all the designated garden areas. The topsoil placement will follow the garden’s design and be outlined by the walkways. Your work will not only move earth but also set the stage for everything that will be grown in the garden. You will be the operational liaison between the Seven Sisters Youth Garden and the supplier, aligning with the strategic plan, budget, and timelines. The Garden will provide the necessary tools. The Committee Leader will be selected by the Committee Members.
Core Responsibilities:
- Sourcing: Identify and administer procurement of 50 cubic yards of topsoil suitable for vegetable gardens (free of contaminants).
- Delivery: Coordinate the logistics of topsoil delivery to the garden site designating the soil dump location with delivery
- Spreading: Organize the team (youth involvement) and distribute the necessary tools to spread the soil evenly into all garden areas to a consistent depth of 10-12 inches, with some mounded areas also.
- Provide ongoing updates to the SSYG’s Executive Director confirming prices, delivery, volunteers, and dates.
- Document the event with photographs for the SSYG’s archives.
Completion:
The garden areas will be defined with a uniform layer of topsoil approximately 8-10 inches deep. Estimated completion: 5/15/2026
Step_5_Filling_the_Walkways_Committee
The Team on this Committee will be laying the silent stage, the walkways, upon which countless future memories are made. You will be shaping and smoothing a path that creates an artery to guide visitors to wander safely throughout the garden. The tools and equipment will be supplied by the Garden. The Committee Leader will be selected by the Committee Members.
Core Responsibilities:
- Roll-out landscape/weed deterrent fabric pathways prior to placing 2 layers of crushed stone on top of the fabric.
- Using wheelbarrows, dump the crushed stone along the center of the walkways.
- The finished level of stone in the walkways needs to be about 5-6 inches, placed in 2 layers, aiming for a slightly higher center for drainage
- Using a plate compactor and/or hand tamper compact the crushed stone after it is spread down. Some water may also be used.
- Document the event with photographs for the SSYG’s archives.
- Walk the paths to make sure there are no soft spots.
Completion:
All the walkways are leveled and compacted with 5-6 inches of crushed stone. Estimated completion 5/30/2026
Step_6_Create_Small_Enclosed_Garden_Committee
The effort by this Committee will make it possible to apply for funding to erect a hoop-house in 2027. One of the primary requirements for the grant is to have plants growing, thereby demonstrating sustainable garden interest, proving the need for a structure to extend the growing season. The Garden will assist with materials and tools. The Committee Leader will be selected by the Committee Members.
Core Responsibilities:
- Locate the area for the preparatory garden.
- Prepare the soil by tilling in necessary chemical-free amendments.
- Install a temporary deer-proof fence.
- Document the event with photographs and/or notes for the SSYG’s archives.
Completion:
The garden area is ready for planting and protected from deer.
Estimated completion: 6/15/2026
Step_7_Garden_Maintenance_Committee
No effort is too small in a garden and this is where we start to grow. Together, this Committee will be turning patience and care into fresh produce one seed at a time. All the time spent in this small garden will continue to have an affect on the overall garden for years to come. The garden will supply seeds and seedlings to plant, the necessary tools and the water. The Committee Leader will be selected by the Committee Members.
Core Responsibilities:
- Determine the layout of the first vegetable garden taking into consideration companion plants, succession planting, and whether planting seeds and/or seedlings.
- Plant seeds and/or seedlings.
- Maintain the garden throughout the growing season by assigning roles for watering, weeding, harvesting, etc.
- The Committee will determine what to do with the harvest from this garden.
- Document with photos, notes, time, and expense.
- Winterizing the garden at the end of the growing season.
Completion:
Having a successful harvest and reporting the results of the garden at the Garden Board Meeting in September 2026. Estimated completion: 9/30/2026
